What is board meeting software?

Board meeting software — also called a board portal or board management software — replaces the printed board pack, the courier and the email thread with one secure digital workspace. The company secretary builds the agenda, issues the notice and publishes the pack; directors read, annotate and vote from any device; and minutes, resolutions and action items stay linked to the meeting they came from.

When a director has a disclosed interest in an item, TrustBoard flags it under Section 184(2), excludes them from that item's voting and quorum arithmetic, and inserts the non-participation wording into the minutes.

Generated from a statutory template with the published agenda, edited in place, and issued with a recorded recipient list. The SS-1 seven-clear-days timeline is tracked for the secretarial team.

Publish the board pack

Sections and documents in reading order, numbered automatically. Published versions are frozen; revisions go out as version two, three, and so on. A per-pack download policy governs what readers may save.

Read in the secure viewer

Directors read the pack in a watermarked viewer — each page decrypted server-side, stamped with the reader's name and date, and streamed with no raw file links to forward. Private annotations, shared notes, and a presenter mode that moves every follower's screen.

Vote, with the record kept

Resolutions are voted on each attendee's own screen, with live tallies, ordinary and special thresholds, and a casting-vote option. Carried resolutions are numbered automatically in the statutory series and export as certified copies. The quorum indicator recomputes live under Section 174(3).

Minutes are drafted with auto-inserted attendance and resolution blocks, circulated for comments, finalised with version locking, and signed — a wet-signed upload or a digital signature request. Decisions become tracked actions with owners, due dates and automatic reminders.
