Privacy Policy

This Privacy Policy describes how Social-Impact Innovations Private Limited ("we", "us"), the company that builds and operates the TrustBoard platform and the website trustboard.in, collects, uses, stores and protects personal data. We design our practices around the Digital Personal Data Protection Act, 2023 (DPDP Act) of India and the principles of the EU General Data Protection Regulation (GDPR).

1. Who this policy covers

It covers visitors to this website, people who contact us through it, and users of the TrustBoard platform (company secretaries, directors, and other authorised users of our customers). Where we process platform data on behalf of a customer company, that company is the data fiduciary and we act on its documented instructions.

2. What we collect

  • Contact enquiries — name, email address, phone number, company name and the content of your message, when you submit our contact form or write to us.
  • Platform account data — name, designation, email address and mobile number of authorised users, provided by the customer company for sign-in and notifications.
  • Platform content — evaluation responses, meeting documents, minutes, registers and related records created by our customers in the course of using TrustBoard.
  • Technical data — sign-in events, device and access logs kept in the platform's audit trail for security and accountability.

3. How we use it

  • To respond to enquiries and provide demonstrations you request.
  • To operate the platform: authentication by one-time codes, notifications, meeting and evaluation workflows.
  • To maintain security: access control, audit logging, and abuse prevention.
  • To meet legal obligations applicable to us.

We do not sell personal data, and we do not use platform content for advertising or for training purposes.

4. Storage and security

All data is hosted in India. Documents are encrypted at rest with per-file AES-256 encryption; data in transit is protected by HTTPS/TLS. Access is permission-checked on the server on a deny-by-default basis, and an append-only audit log records every state change, open, download and export.

5. Retention

Enquiry data is retained for as long as needed to handle the enquiry and for a reasonable period afterwards. Platform data is retained for the duration of the customer's subscription and handled on the customer's instructions at termination, subject to statutory record-keeping requirements that apply to board records.

6. Sharing

We share personal data only with service providers necessary to run the platform (such as SMS/email delivery and, where a customer enables them, integrations like video conferencing, calendars, cloud storage and Aadhaar eSign), each bound to use the data solely to provide their service, and with authorities where the law requires it.

7. Your rights

Under the DPDP Act — and, where it applies, the GDPR — you may request access to, correction of, or erasure of your personal data, and you may withdraw consent where processing is based on consent. Platform users should route requests through their company secretary, since the customer company is the data fiduciary for platform data. For website enquiries, contact us directly.
